Business loan documents: a practical checklist before you apply

Incomplete paperwork is one of the most common reasons applications slow down. Here's how to get organised before you approach a lender.

Published · 5 min read

Lenders evaluate a business loan on three things: who you are, how your business performs, and how the loan will be repaid. Your documents are the evidence for each. Preparing them in advance saves time and helps the lender assess your application accurately.

1. Identity and KYC

  • PAN of the business and of each promoter / partner / director
  • Aadhaar and address proof of promoters
  • Recent passport-size photographs

2. Business registration

  • Udyam registration certificate
  • GST registration certificate
  • Partnership deed, LLP agreement or Certificate of Incorporation with MoA/AoA
  • Shop & establishment or trade licence, where applicable

3. Financial records

  • Income tax returns for 2 to 3 years with computation
  • Audited or CA-certified balance sheet and P&L
  • GST returns for the last 12 months
  • Bank statements of all operative accounts for 6 to 12 months

4. Purpose-specific documents

  • Project report and quotations for machinery or expansion
  • Stock and debtors statements for working capital
  • Property documents if collateral is offered
  • Sanction letters and repayment schedules of existing loans

Tips that help

Keep file names clear, make sure figures match across ITR, GST and bank statements, and be ready to explain any large or unusual transactions. Consistency builds lender confidence.

Every lender has its own checklist, and requirements can change. Treat this list as a starting point and confirm with the lender you are approaching.
